Buying Bed Sheets, Duvet Covers and Pillowcases from India

A plain guide for hotels, short let hosts, hospitals and importers. It covers bed sizes, thread count, weaves, prices, order sizes, timelines, HS codes and how to check a supplier. Each answer links to a page that goes deeper.

Why do buyers source bed linen from India?

India grows its own cotton. The spinning, weaving, dyeing and stitching can all happen in the country. That keeps the price fair and makes it easier to trace what went into a sheet.

Bed linen is made in a few main regions. Karur in Tamil Nadu is known for woven cotton sheets and covers. Panipat in Haryana is known for quilts, comforters and blankets. Each region has its own strengths.

Pakistan, China, Turkey and Portugal also make bed linen. Buyers search for all of them. Compare on your own spec and on samples, not on the country name.

What size sheet do I need?

Start with the mattress, not the name of the bed. A king in the US is 193 cm wide. A king in the UK is 150 cm wide. The same word means a different bed.

Measure the mattress width, length and depth in centimetres. Then give those numbers to your supplier. That is the only way to get sheets that fit.

Four US mattress sizes drawn to scale from above: Twin 99 by 191 cm, Full 137 by 191 cm, Queen 152 by 203 cm and King 193 by 203 cm. A table below compares bed names and sizes in the US, the UK and Europe
The same name means a different size in each market. Always order by the mattress size in centimetres.

How big should a flat sheet be?

A flat sheet must cover the top of the mattress, hang down both sides and tuck under. So it is much bigger than the mattress.

Add the depth of the mattress twice, then add about 30 cm on each side to tuck in. At the head, hotels add extra so the sheet can fold back over the duvet.

How a flat sheet is sized: width is mattress width plus twice the depth plus a 30 cm tuck each side, length adds the depth, a 30 cm tuck at the foot and a 40 cm turn-back at the head
A 152 by 203 cm mattress, 35 cm deep, takes a flat sheet of about 282 by 308 cm.

Why do fitted sheets pop off?

Because the pocket is too shallow. Many hotels add a topper on the mattress, and the sheet was cut for the mattress alone.

Measure the mattress and the topper together. Add 2 to 3 cm. That is your pocket depth. Write it on the order.

Measure the mattress and any topper, then add 2 to 3 cm. A pocket that is too shallow pops off at the corners.

What thread count should I choose?

Thread count is the number of threads in one square inch of fabric. A higher count feels finer and smoother. It also costs more.

Most hotels buy 300 or 400. Budget hotels, hostels and hospitals often buy 200. Very high counts are mostly for luxury rooms and premium shops.

A four step ladder of sheet quality: 200 thread count percale for budget hotels, hostels and hospitals, 300 percale for most 3 and 4 star hotels and short lets, 400 sateen for 4 and 5 star hotels, and 600 sateen for luxury rooms and premium retail, each with its price per set
Each step up costs more and feels finer. Most hotels buy the second or third step.

Is a higher thread count always better?

No. Some sellers twist two thin threads into one and count it twice. A sheet sold as 600 can be no thicker than a 300.

Ask if the yarn is single ply. Ask for the yarn count too. A good 300 single ply sheet often lasts longer than a cheap 600.

A single-ply sheet sold as T300 compared with a two-ply sheet sold as T600: both have about 300 thread positions per square inch, but counting each strand of the plied yarn doubles the number
A T600 two-ply sheet can be no denser than a T300 single-ply. Ask for ply, yarn count, ends and picks, and weave.

Percale or sateen?

Both can use the same cotton. The difference is how the threads cross. Percale crosses one over, one under. It feels crisp and cool and stands up to hard washing.

Sateen lets each thread float over several others. It feels smooth and has a soft shine. It creases less but can snag more easily.

Many hotels choose percale for daily use and sateen for suites.

Percale and sateen weaves seen from above: percale crosses one over and one under in a tight checkerboard, sateen floats each thread over four and under one, with feel, look, wear and creasing compared
Same cotton, same thread count. Percale feels crisp and wears hard; sateen feels smooth but its long floats can snag.

Cotton or poly cotton?

Pure cotton feels cool and soft and is the usual choice for hotels. Poly cotton mixes cotton with polyester. It is stronger, creases less and dries faster, so hospitals and care homes often choose it.

Which sheet suits my kind of business?

A sheet in a 5 star hotel and a sheet in a hospital do different jobs. Start from who sleeps on it and how it will be washed.

Which bed linen each type of buyer usually orders: upscale hotels, budget hotels, short lets and Airbnb hosts, hospitals and care homes, and spas and boutique hotels, with the usual thread count, fabric and colour for each and the reason
Start from the buyer you serve. The right sheet depends on how often it is washed and who sleeps on it.

What do short let and Airbnb hosts need?

Hosts search for this a lot. The answer is simple. Buy white, so every set matches and stains can be bleached. Buy 200 to 300 thread count percale, because it washes well in a home machine and dries fast.

Plan three sets per bed. One on the bed, one in the wash and one spare. Add towels in the same order so one delivery covers the whole place.

Which pillowcase and duvet cover style?

There are three main pillowcase styles. Housewife has a flap inside and is the quickest to change. Oxford has a flat stitched border and looks more finished. Envelope closes at the back and hides the pillow fully.

Duvet covers close in four main ways. Open ends are fastest for housekeeping. Envelope flaps have nothing to break. Zips and buttons look neat but can fail in a hot commercial wash.

How is a hotel bed made up?

A hotel bed has up to six layers of linen. From the bottom: mattress protector, bottom sheet, top sheet, duvet in its cover, bed runner and pillowcases.

Plan about three sets of each per bed. That is called a par level. It keeps one set in use, one in the laundry and one on the shelf.

How do I write a clear order line?

A good order line has eight parts: item, size, thread count, weave, fibre, colour, finish and quantity. When every supplier quotes on the same eight points, you can compare prices fairly.

When one point is missing, the cheapest quote is often the one that left something out.

If every quote you collect answers these eight points, you can compare them fairly.

What is the smallest order?

For sheets at 200, 300 and 400 thread count, the smallest order is 50 pieces per size. That works for standard and custom sizes. 600 thread count starts at 200 sets.

Private label is possible at 50 pieces per size if you supply your own labels.

Larger orders get a lower price per piece. Ask for a price at two or three quantities, so you can see where it drops.

How long does an order take?

Samples take 7 to 14 days to reach you by courier. Production takes 30 to 45 days after you approve the sample and pay the advance. Then add sea transit to your port.

Payment is half in advance, before production starts. The other half is paid when production is finished, before the goods ship.

Order timeline from India: enquiry and quote, samples in 7 to 14 days, sample approval, production in 30 to 45 days, final inspection, then sea freight. Half the payment is made before production and half before dispatch. Sea transit from Cochin is 7 to 10 days to the UAE, 8 to 12 days to Saudi Arabia, 21 to 26 days to the UK, 22 to 28 days to Germany, and 18 to 30 days to the USA
A first order usually takes two to three months from enquiry to arrival. A repeat order skips the sample stage.

Plain or woven pattern cotton bed linen is 6302.31. Printed cotton bed linen is 6302.21. If the fabric is mostly polyester, it is 6302.32.

Which certificates matter?

OEKO-TEX Standard 100 is the one most buyers ask for. It means the product was tested for harmful substances. GOTS covers organic cotton. You only need it if you sell the sheets as organic.

Do not trust a logo on a website. Ask for the certificate number and check it on the website of the body that issued it.

How do I check that an Indian supplier is real?

Six quick checks catch most problems. Four use free public websites. Two are tests you run yourself. None need a visit to India.

Six checks to confirm an Indian textile exporter is real: IEC code on the DGFT website, GST number on the GST portal, company record on the MCA website, certificate number on the issuing body website, your own sample tests, and a third party inspection before the balance payment
Each check takes a few minutes and uses a free public website or a simple test you run yourself.

Can I get my own label?

Yes. Common options are your own sewn label, your own packaging and embroidery on pillowcases or duvet covers.

Frequently asked questions

What is the size of a king size bed sheet in cm?

It depends on the market. A US king mattress is 193 x 203 cm. A UK king is 150 x 200 cm and a UK super king is 180 x 200 cm. A flat sheet must be much bigger than the mattress, so give your supplier the mattress size and depth.

What is the difference between a flat sheet and a fitted sheet?

A fitted sheet has elastic corners and goes over the mattress. A flat sheet is a plain rectangle. It goes on top of the fitted sheet, or hotels use two flat sheets with a duvet.

Is 300 or 400 thread count better for a hotel?

Both are common. 300 percale is crisp, strong and good value for most 3 and 4 star hotels. 400 feels finer and suits 4 and 5 star rooms. Wash samples of both before you choose.

Is a 1000 thread count sheet real?

Usually the count is made higher by counting twisted threads twice. Ask for single ply yarn and the yarn count. A good single ply 300 or 400 often lasts longer.

How many sheet sets do I need per bed?

Plan three per bed. One on the bed, one in the wash and one spare. Busy hotels sometimes keep four.

What is the HS code for bed sheets?

Plain or woven pattern cotton bed sheets are 6302.31. Printed cotton sheets are 6302.21. Mostly polyester sheets are 6302.32. Confirm the full code for your country with your customs broker.

Can I order 50 bed sheets from India?

Yes, for 200, 300 and 400 thread count. The smallest order is 50 pieces per size, in standard or custom sizes.

Can I get free samples?

No. Samples are paid. We tell you the sample and courier cost before we make them, and you pay in advance. Samples take 7 to 14 days to arrive.
