The complete request-for-quotation template for hotel towels, bed sheets, and linen procurement. Include all required specifications to get accurate pricing from Indian manufacturers.
Vague specs like "good quality hotel towel" produce wildly different quotes. Specify exact GSM (e.g., 550 GSM) or thread count (T-300) — this is the most important specification for accurate pricing.
Always request physical samples before placing a bulk order. Free samples from Anabyn available within 5–10 days. Evaluate GSM, whiteness, softness, and weave before committing.
Lead time affects price — rush orders cost more. If your hotel opens in 90 days, say so. If you're planning ahead for next year's procurement, indicate that for best pricing.
A complete hotel linen RFQ (Request for Quotation) should include: Product type (bath towel, hand towel, bed sheet, duvet cover, pillowcase, etc.); GSM specification (for towels) or thread count (for sheets); Material (100% cotton, cotton-poly blend, GOTS organic); Size and dimensions for each product; Quantity (pieces per item); Color (white, ivory, custom colour); Certifications required (OEKO-TEX, GOTS, ISO); Delivery destination (country and port); Incoterms preference (FOB, CIF, DDP); Lead time required; Sample request (yes/no); Custom branding requirements (embroidery, label, stripe).
Hotel towel GSM by category: Budget / economy hotel: 400–450 GSM. 3-star / upper midscale: 450–500 GSM. 4-star hotel: 500–550 GSM. 5-star / luxury hotel: 550–650 GSM. Ultra-luxury resort (Aman, Six Senses): 650–800 GSM. When writing your RFQ, specify whether you want ring-spun cotton, combed cotton, or long-staple Egyptian/Suvin Gold cotton — this affects price and quality significantly.
Hotel bed sheet thread count by category: Budget hotel: T-144 to T-180 (plain or percale weave). Economy/midscale: T-200 (percale weave, 100% polyester-cotton). Upper midscale: T-250 (percale or sateen, 100% cotton combed). Full-service hotel: T-300 (percale or sateen, 100% long-staple). Luxury hotel: T-400 (sateen, 100% Egyptian or Suvin Gold cotton). Ultra-luxury: T-500–T-600 (premium sateen, single-ply long-staple). Always specify: weave type (percale vs sateen), cotton type, and whether fitted sheet requires deep pocket (14 inch or 16 inch depth).
Certification requirements by hotel segment: All hotels: OEKO-TEX Standard 100 (minimum — ensures no restricted chemicals). Eco-certified / green hotel: GOTS (Global Organic Textile Standard) for organic cotton properties; Bluesign or Fair Trade for additional sustainability claims. Luxury brand hotels (Marriott, Hilton, IHG): ISO 9001:2015 quality management system; BSCI (Business Social Compliance Initiative) social audit. Airline linen: BS 5867 or FAR 25.853 fire retardant certification. European Union buyers: REACH compliance documentation. Always request copies of current certificates with your RFQ.
Most hotel linen RFQs from Indian manufacturers use: FOB (Free On Board) — most common for bulk hotel linen orders. Seller delivers goods to named port (Cochin) and loads onto vessel. Buyer arranges freight, insurance, and pays all destination costs. This is the standard term for hotel linen procurement enabling buyers to use their preferred freight forwarder. CIF (Cost, Insurance, Freight) — seller arranges freight and insurance to destination port. Useful for buyers who prefer a single price to destination port. DDP (Delivered Duty Paid) — seller delivers to buyer's door including all freight, insurance, and import duty. Highest price but simplest for buyer. Most new buyers start with CIF; established buyers prefer FOB.
