How to Import Hotel Linen from India to the GCC

Step-by-step for UAE, Saudi Arabia, Qatar & GCC importers
MOQ · Pricing · CEPA Duty · Shipping · Documentation · Supplier Vetting

Why Import Hotel Linen Directly from India?

Approximately 51% of UAE's home textile imports already come from India — and for good reason. India offers factory-direct pricing (no middlemen), OEKO-TEX and GOTS certification for luxury hospitality, and the shortest sea route to the GCC (10–14 days Cochin to Jebel Ali). The India–UAE CEPA (2022) adds a decisive advantage: 0% import duty at UAE, versus 5% for Turkish, Chinese, or Egyptian suppliers.

This guide covers the complete import process for UAE, Saudi Arabia, Qatar, Kuwait, Bahrain, and Oman buyers — from spec sheet to warehouse delivery.

Step-by-Step Import Process

1

Define Your Specification

Before contacting suppliers, prepare a brief specification: product type (towels / bed sheets / bathrobes), quantity in pieces or sets, GSM or thread count required, size range, colour (white / ivory / custom), certifications required (OEKO-TEX / GOTS), and packaging preference. This enables suppliers to give accurate pricing without back-and-forth.

Use our free Specification Template — send us a WhatsApp or email and we'll share it.

2

Request Proforma Invoices from 2–3 Indian Suppliers

Send your specification to 2–3 Indian manufacturers (not trading companies — verify IEC code registration). Request a Proforma Invoice (PI) with FOB Cochin / CIF Jebel Ali pricing, lead time, and MOQ. Compare on: per-unit price, GSM/spec alignment, certifications, export experience.

Request physical samples (approx. USD 50–150 courier cost) before committing to a production order.

3

Evaluate Samples Against Your Spec

Evaluate towel samples on: GSM (weigh yourself or send to a lab), absorbency (drop test), softness after 3 washes, colour fastness (rub with damp white cloth), shrinkage after wash, and stitching quality. For bed linen: thread count, hand feel, wrinkle resistance, and colour consistency.

Request AQL 2.5 inspection report with the production order — this is the industry standard for hospitality buyers.

4

Place Order & Pay Advance

Once samples are approved, the supplier issues a final commercial invoice. Standard payment terms for Indian exporters: 30–50% advance by T/T wire transfer, balance before shipment or against Bill of Lading copy. L/C (Letter of Credit) is available for larger orders (USD 50,000+). USD and AED are both accepted.

Never pay 100% advance to a new supplier. Start with 30% advance; pay balance on BL copy.

5

Approve Pre-Production Sample

Before mass production begins, approve the Pre-Production (PP) sample — a production-quality sample in your actual specification, colour, and weave. This is your last quality checkpoint before the full run.

PP sample approval should be in writing (WhatsApp or email). Keep it as your reference for disputes.

6

Production & Quality Inspection

Production lead time is typically 21–35 days for standard hotel linen. Request an inline inspection at 50% production completion. Arrange a pre-shipment inspection by an independent body (SGS, Bureau Veritas, QIMA) or trust the supplier's in-house AQL 2.5 report with photographic evidence.

For GCC buyers: instruct the supplier to include Arabic care labels at this stage — it cannot be done after packing.

7

Shipping: Sea Freight or Air Freight

For containers (LCL or FCL), book sea freight from Cochin (Kochi) to Jebel Ali (Dubai). Transit: 10–14 days. LCL minimum: 1 CBM. FCL: 20ft (25–28 CBM) or 40ft (55–60 CBM). For urgent or sample shipments, air freight Cochin → Dubai: 2–3 days. Instruct the supplier to provide the Packing List and Commercial Invoice with HS code for customs clearance.

Ask your freight forwarder to quote both LCL and FCL — FCL is often cheaper for orders over 8 CBM.

8

UAE Customs Clearance & CEPA Duty

Your UAE customs broker (clearing agent) handles customs clearance at Jebel Ali or Abu Dhabi Port. For 0% CEPA duty: present the Certificate of Origin Form AI from the Indian supplier, commercial invoice with origin declaration, and Bill of Lading. Without Form AI, you pay standard 5% GCC duty. Standard customs clearance takes 1–3 working days.

Confirm with your broker whether CEPA Form AI is accepted at your specific UAE port of entry — it should be universally accepted but protocols vary.

9

Receive, Inspect & Distribute

On delivery to your warehouse, conduct a receive inspection: count cartons vs packing list, check for transit damage, spot-check 2–5% of units for quality. For GCC re-distribution (Saudi Arabia, Qatar, Kuwait, Oman), prepare transshipment documents or re-export declarations as required by the destination country's customs.

For regular programmes, agree a "rolling order" with your supplier — place next order at delivery of current one to avoid stockouts.

How to Vet an Indian Hotel Linen Supplier

Verify IEC Code

India's Importer-Exporter Code (IEC) is issued by DGFT. Ask the supplier for their IEC number and verify at dgft.gov.in. A legitimate exporter has an active IEC.

Check OEKO-TEX at oeko-tex.com

OEKO-TEX certificates are publicly searchable. Go to oeko-tex.com/certificate-checker and enter the supplier's certificate number. Fake OEKO-TEX claims are common — always verify online.

Request GOTS Transaction Certificate

For GOTS-certified organic cotton orders, each shipment requires a GOTS Transaction Certificate (TC) from the supplier. Ask to see a sample TC from a recent order.

Check Export Records on Volza or Import Genius

B2B data platforms like Volza, Import Genius, or Panjiva show actual export shipment records. You can verify whether the supplier actually exports hotel linen to UAE or GCC markets.

Request 3 Buyer References

Ask for 3 references from existing UAE, GCC, or European hotel buyers. Contact at least one independently. Legitimate exporters are comfortable providing references.

Request Factory Audit

For orders over USD 50,000, commission a factory audit through SGS, Bureau Veritas, or QIMA (USD 300–500). Audit covers quality systems, capacity, social compliance, and infrastructure.

Don't Forget: Claim 0% CEPA Duty at UAE Customs

UAE importers who do not present a Form AI Certificate of Origin pay the default 5% GCC customs duty — unnecessarily. Every shipment from Anabyn includes Form AI documentation. Show it to your customs broker before clearance.

GCC Hotel Linen Import — FAQs

What is the MOQ for importing hotel linen from India to UAE?

Typical MOQ for hotel-grade bath towels from Indian manufacturers is 500 pieces per size/colour per order. For bed sheets and duvet covers, MOQ is typically 100–200 sets. Some manufacturers allow mixed MOQs (e.g., 500 total units across 2–3 products). Anabyn's MOQ is 500 pcs for towels and 200 sets for bed linen. For very large hotel group orders (5,000+ pcs), pricing improves significantly.

What is the typical lead time for hotel linen from India to UAE?

Total lead time from order placement to delivery in Dubai: 30–50 days typically. Breakdown: PP sample approval 5–7 days, production 21–35 days, quality inspection 2–3 days, loading and documentation 3–5 days, sea freight Cochin → Jebel Ali 10–14 days, UAE customs clearance 1–3 days. For urgent orders, air freight reduces the transit from 10–14 days to 2–3 days, but at 5–8x the freight cost.

What is the FOB price range for hotel towels from India?

FOB Cochin price for hotel bath towels (100% combed cotton, OEKO-TEX certified) ranges from approximately USD 2.50–4.00 per piece for 400–500 GSM standard hotel grade, USD 4.00–7.00 for 600–700 GSM luxury grade. Bed sheets (300TC percale, 200cm × 280cm flat sheet) range from USD 5–10 per piece. Prices depend on GSM/TC, cotton type, MOQ, certifications, and customisation. Request a current quote — FOB prices change with cotton market rates.

Can I import as a small business or do I need a minimum company size?

Any UAE-registered company with a General Trading License or Textile Trading License can import hotel linen from India. There is no minimum company size. Many Anabyn customers are small distributors, hotel purchasing managers, and trading LLCs importing 1–2 containers per year. You need: a UAE trade license, a UAE bank account for T/T payment, and a relationship with a UAE customs broker (clearing agent). For very small orders (below 1 CBM), use LCL (less-than-container-load) consolidation freight.

Can I import to Saudi Arabia or Qatar directly from India, or do I need to go via UAE?

You can import directly from India to Saudi Arabia (Jeddah Islamic Port or King Abdulaziz Port Dammam), Qatar (Hamad Port Doha), Kuwait (Shuwaikh Port), or Oman (Port Sultan Qaboos Muscat). Direct FCL shipments take 14–18 days for Saudi Arabia, 12–16 days for Qatar and Kuwait. CEPA 0% duty applies only to UAE imports — other GCC countries pay standard 5% GCC common external tariff on Indian textiles. Many GCC buyers use UAE as a consolidation hub for cost efficiency.

Do Indian suppliers provide SABER certification documents for Saudi Arabia imports?

Indian suppliers provide the technical documentation required for Saudi SABER registration: test reports, product specifications, and product conformity certificates (PCC). The SABER portal registration itself is typically managed by the Saudi importer or their customs broker using the supplier's documentation. Anabyn has experience preparing SABER-ready technical files for Saudi hotel linen importers.
